Keeping records current without it becoming a chore
A twenty-minute rhythm that keeps a vault trustworthy.
An out-of-date vault is worse than none, because someone will act on it. The fix is small and regular rather than large and annual.
A simple rhythm
- When a renewal letter arrives, update the record before you file the letter.
- Once a quarter, open the household and skim for anything obviously stale.
- After any big change — a move, a new car, a new diagnosis, a new advisor — update the same day.
Every change is written to the activity log with who made it and when, so you can always see how current a record really is.
